UNMOGIP seeks a dedicated Travel Assistant (G-5) to provide comprehensive travel administration, protocol coordination, and visa processing support. In this full-time role based in Islamabad, you'll manage travel requests, coordinate diplomatic protocols, arrange visas, and provide essential administrative support to military observers and international staff. The United Nations Military Observer Group in India and Pakistan (UNMOGIP) is a UN peacekeeping mission established to supervise the ceasefire between India and Pakistan. Operating from its Islamabad office, UNMOGIP consists of military observers and administrative staff dedicated to maintaining peace and facilitating dialogue between the parties. The organization requires professional administrative support to ensure smooth operations of its travel, protocol, and HR functions serving military observers, international staff, and high-ranking official visitors.

Key Responsibilities

  • Create and process Travel Requests, Shipment Requests and Expense Reports in Umoja/SAP for Mission personnel
  • Provide guidance on UN travel rules, policies and procedures for official travel and shipment of personal effects
  • Prepare documentation and obtain NOCs from MoFA for staff, UNMOs, delegations and high-ranking officials visiting Pakistan
  • Draft visa letters and correspondence to Pakistani ministries, embassies, MoFA, Ministry of Interior, and Indian High Commission
  • Execute airport protocol duties for arrival, departure, visitation and repatriation of international staff and official visitors
  • Coordinate transport arrangements and hotel/guest house accommodations for visiting dignitaries and staff
  • Assist in coordinating documentation for Diplomatic and Non-Diplomatic ID card applications for UNMOs and staff
  • Arrange and process Pakistani and Indian visa applications and extensions for international staff and Military Observers
  • Follow up on passport endorsements and coordinate visa stamping processes
  • Maintain visa dashboard and ensure accurate reporting through CPAS platform
  • Deliver induction training on travel and shipment procedures for newly deployed personnel
  • Prepare and maintain files for passport details, IDs, visas and travel authorizations
  • Prepare documentation for exemption certificates for household items and official vehicles
  • Review vendor invoices and documentation for official travel expenses before forwarding to Finance

Requirements

  • Minimum 5 years of progressively responsible work experience in travel administration, protocol coordination or related administrative functions (3 years if holding first-level university degree)
  • Proficiency in Microsoft Office tools including MS Word and MS Excel
  • Fluency in English at UN Level II (reading, writing, listening, speaking)
  • Strong knowledge of UN travel policies, procedures and regulations
  • Experience with Enterprise Resource Planning (ERP) tools such as SAP or Umoja (desirable)
  • Experience within UN Common System or comparable international organizations (desirable)
  • Ability to apply sound judgment in administrative and protocol functions
  • Must be authorized to work in Pakistan
